VLOOKUP and INDEX-MATCH both retrieve data from a table based on a lookup value, but INDEX-MATCH is more flexible and generally preferred by experienced analysts.

VLOOKUP searches for a value in the leftmost column of a range and returns a value from a specified column number. The syntax is VLOOKUP(lookup_value, table_array, col_index_num, range_lookup). For example, VLOOKUP(A2, Products!A:D, 3, FALSE) looks up the value in A2 within the Products sheet and returns the value from the third column. The FALSE parameter specifies an exact match.

The key limitation of VLOOKUP is that it can only look to the right. The lookup column must be the leftmost column in your range. If you need to return a value from a column to the left of your lookup column, VLOOKUP cannot do it. Additionally, inserting or deleting columns can break VLOOKUP formulas because the column index is a hard-coded number.

INDEX-MATCH combines two functions. MATCH finds the position of a value in a range and returns its row number. INDEX returns the value at a specific row in a range. Together, INDEX(return_range, MATCH(lookup_value, lookup_range, 0)) achieves the same result as VLOOKUP but with more flexibility.

INDEX-MATCH can look in any direction, left or right, because the lookup range and return range are independent. It handles column insertions and deletions gracefully because it references specific column ranges rather than numeric offsets. It is also slightly faster on large datasets because it only processes two columns rather than an entire table range.

For modern Excel users, XLOOKUP has been introduced as a replacement for VLOOKUP that addresses many of its limitations. XLOOKUP can search in any direction, returns exact matches by default, and handles errors more gracefully. However, it is only available in newer versions of Excel and Microsoft 365.

In practice, I recommend INDEX-MATCH as the default approach for its reliability and flexibility. Use VLOOKUP only for quick, simple lookups where you know the data structure will not change. If your organization has Microsoft 365, XLOOKUP is the most convenient option for new work.
