Multi-factor authentication, commonly abbreviated as MFA, is a security method that requires users to provide two or more forms of verification before they can access an account or system. It adds an extra layer of protection beyond just a password, making it significantly harder for attackers to gain unauthorized access even if they manage to steal or guess the password.

MFA works by combining factors from different categories. The three main categories are something you know, something you have, and something you are. Something you know is a piece of information like a password, PIN, or security question answer. Something you have is a physical item like a smartphone, a hardware security key, or a smart card. Something you are refers to biometric characteristics like a fingerprint, facial recognition, or an iris scan.

A common example of MFA in practice is logging into a work account. You enter your password, which is something you know. The system then sends a push notification to your phone or asks you to enter a six-digit code from an authenticator app, which is something you have. Only after you provide both factors does the system grant access.

The most common MFA methods you will encounter in IT support are authenticator apps like Microsoft Authenticator or Google Authenticator, which generate time-based one-time passwords that refresh every 30 seconds. SMS-based codes sent to the user's phone number are another method, though they are considered less secure because SMS messages can be intercepted. Push notifications, where the user simply approves a login attempt on their phone, offer a convenient and secure option. Hardware tokens like YubiKeys provide the strongest protection and are often used for high-security environments.

MFA is critically important because passwords alone are no longer sufficient to protect accounts. Users reuse passwords across services, choose weak passwords, and fall victim to phishing attacks. Research from Microsoft shows that accounts without MFA enabled are compromised at dramatically higher rates than those with it. MFA effectively blocks the vast majority of automated attacks, phishing attempts, and credential stuffing campaigns.

As an L1 technician, you will frequently help users set up MFA on their accounts, troubleshoot issues like expired codes or lost devices, and assist with recovery when a user cannot access their second factor. Understanding how MFA works and being able to guide users through the process clearly and patiently is an essential part of the role.
