I would prepare by understanding the goal of the conversation, reviewing any existing process notes or data, and listing the questions I need to ask. I would identify who uses the process, what problem they experience, what decisions they need to make, and what constraints exist. I would also prepare a simple agenda so the stakeholder knows the purpose, expected outcome, and follow-up steps.

A user says the current workflow is frustrating. Ask follow-up questions in English.

Accepted Answer

I would ask questions that uncover the exact problem. For example: Which step creates the most frustration? How often does it happen? What information do you need at that moment? What workaround do you use today? Who else is affected by this issue? To confirm, the main problem is not the whole workflow, but the approval step because it requires duplicate data entry. Is that correct?
