Functional and non-functional requirements together define the complete picture of what a system must do and how well it must do it. A solutions architect must deeply understand both because they drive fundamentally different architectural decisions.

Functional requirements describe what the system should do. They define specific behaviors, features, and capabilities. Examples include allowing users to register with an email and password, processing credit card payments, generating monthly reports, and sending email notifications when an order ships. Functional requirements are typically gathered from business stakeholders and product owners and are documented as user stories, use cases, or feature specifications. They answer the question of what the system does.

Non-functional requirements describe how the system should perform. They define quality attributes and constraints that shape the architecture. Key categories include performance requirements such as the system must respond to API requests within 200 milliseconds at the 95th percentile; scalability requirements such as the system must support 10,000 concurrent users with the ability to grow to 100,000; availability requirements such as the system must achieve 99.95 percent uptime; security requirements such as all data at rest must be encrypted with AES-256; and compliance requirements such as the system must comply with GDPR and store European user data within the EU.

A solutions architect must understand both because they influence architectural choices differently. Functional requirements determine the components you need to build, while non-functional requirements determine how you build them. For example, the functional requirement to process payments tells you that you need a payment service. The non-functional requirement for 99.99 percent availability on that payment service tells you it needs multi-region deployment with automatic failover, which is a dramatically different architecture than a single-region setup.

The most common mistake is gathering only functional requirements. A system that does everything it should but responds in 10 seconds, crashes weekly, or cannot handle more than 100 users is a failed system. I always create a non-functional requirements checklist that I walk through with stakeholders, covering performance, scalability, availability, security, compliance, maintainability, and cost constraints. Many stakeholders do not think about non-functional requirements until prompted, so it is the architect's responsibility to ask the right questions.

Non-functional requirements should be measurable. Instead of saying the system should be fast, specify that page load time must be under 2 seconds for the 95th percentile of users. Measurable requirements become testable acceptance criteria.
